Erasmus+ grant for exchange studies
for exchange studies
How to apply for an Erasmus+ exchange grant. Information on eligibility requirements, documents, travel allowance, the total amount of your grant and more.
Eligible countries
- all countries within the European Union (not Sweden)
- Iceland, Liechtenstein, Norway, North Macedonia, Serbia and Turkey
Students at Malmö University who are nominated for exchange studies to the United Kingdom may apply for the Erasmus+ grant for exchange studies.
Eligibility requirements
You can apply for the Erasmus+ grant for exchange studies if you qualify for the eligibility requirements:
- You are nominated by Malmö University for exchange studies within the Erasmus+ framework.
- Your exchange studies are for at least 60 days.
- Your exchange studies take place in a country other than where you live or study.
- You must temporarily reside in the country where you are doing the exchange studies. Please note, you cannot apply for exchange studies in Denmark if you live in Denmark and commute to Malmö for your studies. Similarly, you cannot apply if you live in Malmö and commute to Denmark for exchange studies.
You can receive a grant several times
It is possible to apply for an Erasmus+ grant for an internship and/or exchange studies on several occasions. The limit is for a total of 12 months in each education cycle (bachelor’s level, master’s level or PhD).
Grant 2024/25
Your total grant is calculated depending on the country you go to and the number of days that you spend in your host country for your studies. The grant is a monthly grant, where each month is calculated as 30 days.
The grant amount from autumn 2024 is:
- 560 EUR/month (18.66 EUR/day) for Austria, Belgium, Denmark, Finland, France, Germany, Iceland, Ireland, Italy, Liechtenstein, Luxembourg, the Netherlands, Norway and the United Kingdom.
- 510 EUR/month (17 EUR/day) for Cyprus, Czechia, Estonia, Greece, Latvia, Malta, Portugal, Slovakia, Slovenia, Spain, Bulgaria, Croatia, Hungary, Lithuania, North Macedonia, Poland, Romania, Serbia, and Turkey.
Transfer of grant
Your grant is transferred to you in EUR in two parts:
- 70 per cent of your total calculated grant is transferred once you have completed your application and you are about to shortly start your studies abroad.
- The remainder of the grant is transferred after your exchange and once you have completed the reporting for the grant.
The grant may be adjusted for the second transfer as it is calculated on your actual dates as confirmed in the certificate of attendance that you hand in after your exchange.
Travel grant and green travel
Travel grant
You will automatically receive a travel grant based on the distance between Malmö and the host city. Use the European Commission's distance calculator to work out the distance you need to travel. The travel grant will be higher if you travel in a sustainable way.
You will also automatically receive two travel days and for these you receive the daily grant sum.
Green travel
If more than half of the distance of your round-trip travel from Malmö to your destination (host city) is done in a sustainable way, then the travel grant will be higher. If needed, you may also apply for up to four extra 'green' travel days and for these you receive the daily grant sum.
Green travel is defined as travel that uses low-emission means of transport for the main part of the journey, such as bus, train or carpooling. You cannot apply for green travel if you are travelling sustainably in one direction only, nor if you are travelling alone in an electric or hybrid car.
You have to apply for green travel before your departure, you may not apply retroactively.
The extra green travel days only apply if you need more than two travelling days. For example, if you are travelling sustainably, but the journey to the host city only takes one day in each direction, you do not need to apply for any green travel days.
Calculate travel grant
- from 10km to 99km: 56 EUR for green travel (28 EUR for non-green travel)
- from 100km to 499km: 285 (211)
- from 500km to 1999km: 417 (309)
- from 2,000km to 2,999km: 535 (395)
- from 3,000km to 3,999km: 785 (580)
- from 4,000km to 7,999km: 1,188 (1188)
- 8,000 km or more: 1,735 (1,735)
The distances above represent one-way travel between Malmö and the destination (host city). The amount indicated corresponds to the full travel grant (EUR). Use the European Commission's distance calculator to calculate the distance between cities.
Inclusion, possibility of an extra grant
- students with a permanent or a long-term disability, including a disability caused by physical or mental illness, may apply for a special supplement
- students who have minor children, regardless of whether the child accompanies or not, may apply for a special supplement, a top-up
If, for example, you have a NAIS decision, then you may apply for the top-up.
If the stay abroad would involve extra costs that exceed the above mentioned top-up, it is possible to apply for inclusion support from the Swedish Council for Higher Education for actual costs. The inclusion support for actual costs then becomes a complement to the top-up. Please contact us when you have decided to go forward with you travel to get more information and assistance.
Application
The application for the Erasmus+ grant is not the same as the application to your host university, the processes are separate. You first need to complete the application to your host university, then you follow the below steps in order to apply for the Erasmus+ grant. Your application is complete once you have completed all the steps.
You upload and submit your documents in the MoveON portal.
Application deadline
Please start and complete your application as soon as possible. You have to complete your application the latest one month before you start your studies abroad.
1. Letter of acceptance
Once you receive your letter of acceptance from your host university you must upload it to MoveON.
The document must include:
- start and end date of your semester
- possible orientation or introduction dates.
If your letter of acceptance does not include the exact mobility dates, please also attach a printout of an academic calendar or similar that confirms your start and end dates.
It is important that you give as specific information as possible. Your grant amount is calculated based on the number of days that you are present at the host institution.
You can receive the grant if you are taking a language course in connection to the start of your semester. Proof of the language course and start and end dates must be uploaded.
Upload and submit documents
You upload and submit your letter of acceptance to MoveON. You use the form ‘AFTER NOMINATION: Document upload for mobility abroad’. In the section ‘Supporting documents’ you choose ‘Before the mobility’ in the scroll down list and upload your document(s) in the section ‘Confirmation of Admission’.
2. Erasmus+ Online Learning Agreement (OLA)
An Erasmus+ online learning agreement (OLA) must be established before your exchange.
The learning agreement outlines which courses you are planning to take at the partner university and how they may be transferred to your education at Malmö University upon your return. Your exchange must entail full-time studies which means that you must study the equivalent to 30 higher education credits during your exchange.
Your international coordinator will enable the OLA in MoveON for you. You will receive an email with further instructions once the learning agreement is ready for you to complete. The learning agreement will be available in the MoveON portal under the headline 'Online Learning Agreement (OLA) - Only for Erasmus+ exchange students'.
You do not upload the OLA to MoveON as you complete it in the MoveON portal.
Note that if you are going to study in the United Kingdom you will not make an OLA. You will use a document template and once your learning agreement is complete you upload it to the MoveON portal.

3. Bank account details and application for green travel
You will receive a separate email with a link to a form where you fill in your bank account details. The bank account details are needed to continue processing your application. In the same application, you indicate whether you wish to apply for green travel.
4. Online language test
As part of an Erasmus+ exchange you may take a language test before your departure. The tests are done online and you are tested in the main language of instruction at the host university. The language test will not affect your ability to carry out the exchange, but it is an opportunity for you to assess your language level and how it hopefully will improve during the exchange.
After completing the test, you will receive information regarding which level that you have achieved, and you will be able to save a document with your result for your reference.

Exchange in native language
If you are going to study in a language that is your native language, then you are exempted from taking the language test.
Online language course
If you wish to improve your language skills then you may take an optional language course. For example, if you are to study in France but take courses taught in English, maybe you wish to practice your French and thus take an online language course in the French language. You may participate in as many courses as you wish and you have three years, from your first log in, to finalise the course(s).
5. Erasmus+ Grant Agreement
You have not received your Erasmus+ Grant Agreement yet. Once you have completed steps 1–4, your grant will be calculated and the Erasmus+ Institutional Coordinator will prepare the agreement and send it to you by e-mail. The grant agreement is a contract that states the conditions for the Erasmus+ grant. Read the document carefully. If information is missing or faulty, enter any required information on page one. Insert the place and date and then sign the contract.
You upload and submit your signed grant agreement to MoveON. You use the form ‘AFTER NOMINATION: Document upload for mobility abroad’. In the section ‘Supporting documents’ you choose ‘Before the mobility’ in the scroll down list and upload your document in the section ‘Erasmus+ grant agreement’. You must upload the complete document, not only the page that you have signed.

Student OUT insurance
Student OUT insurance
You are insured through the Kammarkollegiet's Student OUT insurance policy during your studies. The insurance is valid for the time that you spend in the host country. Make sure to read the terms and conditions before you go abroad.
Changes during your exchange
If your exchange period is shortened or extended, you must contact your International Coordinator as well as the Erasmus+ Institutional Coordinator. If you extend your studies abroad then all new documents must be completed before the extension begins.
If you decide to cancel your exchange you may be required to repay parts of, or the entire grant amount.
If there are any changes in your courses, you must revise your Erasmus+ Online Learning Agreement in order to have your changes approved.
After your exchange
You will receive an automated email reminding you about the steps to take shortly before you finalise your studies abroad.
Submit mandatory documents
To receive the outstanding grant when your exchange studies have ended, you must complete the below steps:
1. Respond to the Erasmus+ participant report within 30 days.
By the end of your studies you will receive an automated e-mail with instructions from the European Commission on how to complete the online report.
2. Upload and submit your certificate of attendance to MoveON within 30 days.
Your host university has to sign, and thus certify the actual start and end date of your studies. This is done through the Certificate of attendance. These final dates are what any second transfer of your grant will be based on. As such, the final amount may be slightly less, or more than what you may expect depending on how these dates match your planned dates in your Erasmus+ Grant Agreement.

3. Upload and submit your transcript of records to MoveON.
You might receive your transcript directly from your host university or it might be sent to Malmö University. It sometimes takes some time before you receive this document from your host university, depending on their routines.
Submit your documents in the MoveON portal
You upload and submit your documents to MoveON. Use the form ‘After nomination: Document upload for mobility abroad’. In the section ‘Supporting documents’ you choose ‘After the mobility’ in the scroll down list and upload your transcript of records and the certificate of attendance in the indicated sections.
Note that you may add documents and submit them to MoveON as soon as you have them ready, you do not have to submit all documents at the same time. Once you have completed all three steps then any second transfer of the grant will be made to you.
